Executive Assistant Private Affairs

Job Type: Full-time – Flexible working hours

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive’s behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Responsibilities

Calendar & Schedule Management – Organize and coordinate meetings, appointments, and travel arrangements for the executive.
Meeting Preparation & Support – Assist in preparing materials, briefing notes, and presentations for meetings.
Email & Correspondence Management – Handle and respond to emails, letters, and other communications on behalf of the executive.
Document & File Management – Draft, edit, and organize important documents, reports, and presentations.
Personal Assistance – Assist with personal tasks, reservations, and lifestyle management as needed.
Confidentiality & Discretion – Handle sensitive information with the utmost professionalism and confidentiality.
Event Coordination – Organize business and social events, including venue bookings, invitations, and logistics.
Travel Arrangements – Book flights, accommodations, and transport while ensuring all necessary visas and documents are in place.
Expense Management – Track and reconcile expenses, process reimbursements, and manage budgets.
Stakeholder Communication – Act as a point of contact between the executive and internal/external stakeholders.
Office & Project Support – Assist with administrative tasks, project coordination, and follow-ups to ensure smooth operations.

Qualifications

  • Bachelor’s degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
